What you'll do

The Proposal Manager is responsible for proposal development, including creating and maintaining schedules, organizing resources, coordinating inputs and reviews, bid strategy, ensuring compliance, resolving internal response team issues, and providing process leadership for the completion and on-time submission of RFx proposals (Request for Proposals (RFPs), Request for Quotations (RFQs), Requests for Information (RFIs)) and Security Assessments. Ultimately, the Proposal Manager manages the RFx response from beginning to end from research and data collection/maintenance to writing and editing/proofreading, to proposal document creation and revision, and (when needed) production. The role includes continuous review of and knowledge of the DocuSign solutions, content updates in Loopio, and security-related questions and responses.

This role reports to the Manager, Proposal Manager EMEA.  

Responsibility 

  • Ownership of the RFx or Security Assessment response, with a focus on complex and strategic responses. This includes planning, researching, developing, and editing complex content for proposals in response to customer solicitations – maintaining high standards around quality and accuracy of the final output
  • Serves as central point of contact on assigned proposals and leads multi-discipline or cross-functional team(s)
  • Owns and leads a project initiative that is focused on process improvement or providing subject matter expertise for the Global Proposal team
  • Participates in interviewing and evaluating potential Proposal Team candidates
  • Provides mentorship and training during onboarding of new Proposal Team members
  • Using data, leads the bid/no bid qualification process with Sales and Solution Engineering
  • Acts as the visionary for the solution, developing win themes and strategies based on the latest competitive intel
  • Reviews RFx for flags, issues, and risks, and works with internal teams to mitigate these risks
  • Creates the project plan and tracks assignments for completion
  • Leads initial and ongoing status meetings to review progress on outstanding RFx content tasks/assignments
  • Identifies win themes and strategies
  • Writes content for cover letters, executive summaries, and other materials as needed to customize for the customer
  • Helps to maintain proposal processes, templates, standards, and best practices within the Proposal Knowledge Center and provides suggestions as needed
  • Develops and maintains proposal content in Loopio
  • Identifies content gaps, then works with Sales, Technical, and Engineering experts, as well as contract and legal representatives, to craft Subject Matter Expert (SME) technical responses. Manages these SME technical writing assignments to ensure that submissions are accurate, compliant with the outline and RFx instructions, and address win themes and strategies
  • Tracks RFx responses in Salesforce

What you bring

Basic 

  • Written and verbal fluency in German and English
  • Proven proposal experience within technology sales
  • BS/BA degree or equivalent in relevant work experience 

Preferred 

  • Proven proposal experience within a software sales environment
  • Excellent communication, interpersonal, and organizational skills
  • Excellent writing, grammar, and spelling abilities; technical writing skills preferred
  • Proficiency with MS Office Suite (Word, Excel, PowerPoint)
  • Skilled in engaging with senior technical and upper management to obtain necessary information
  • Self-starter, multitasker, team player, works well under pressure, and follows through on tasks
  • Skilled in handling multiple deadlines simultaneously and working independently
  • Excellent attention to detail
  • Willingness to travel a few times a year for team events
